In the last section, we discussed how your roadmapping meetings are going to stay the same in cadence and purpose, but the prep time, the meeting time, and the effectiveness of those meetings is going to change drastically.
Here's how:
1. Pick your champion
Identify your primary Receptive champion. Who is going to be in charge of Receptive? Who knows your product, can communicate well, and quickly check over & update requests?
2. Prepare your data
A few days before the next roadmapping meeting, your Receptive champion will go through the top 5 requests in your Customer, Internal, and Prospect SmartLists.
On these 15 items: make sure they're clear and do a quick check (using search and/or tags) that there aren't any duplicates to merge into them.
3. Hold your meeting
The meeting is started by reviewing the highest value features from each report to determine “yes, no, or maybe”. (Review the #1 item in the Customer SmartList, the #1 item in the Internal SmartList, the #1 item in the Prospect SmartList, then back to #2 on the Customer SmartList, etc.)
Your champion will update each item in Receptive as it's reviewed, so your customers & team members get instantly updated as decisions are made.
Stop the meeting at the scheduled 60 or 90 minutes.
You won't get through all 15 items you had prepared, but you will get through your most valuable requests.
